Overview

This position supports the Programs & Grants team, which includes Programs for Young Leaders, Service & Engagement, Rotary Grants, Areas of Focus, Programs of Scale, and Service & Grants Products. You will provide direct support to the Programs for Young Leaders team within Programs & Grants and your contributions will span across the operations of both Rotary International (RI) and The Rotary Foundation (TRF) and our team’s commitments to deliver on Rotary’s Strategic Action Plan.

The Alumni Relations Program Officer is responsible for supporting implementation of an effective alumni engagement strategy. Rotary alumni are individuals who have experienced Rotary through various programs, including Global Grant scholars, Rotary Peace Fellows, former Rotaractors, Interactors, Youth Exchange participants, RYLA participants, Vocational Training Teams, and many other youth and scholarship programs. The officer’s goal is to foster opportunities for alumni to engage with Rotary at local and global levels.

You Will Have

  • Undergraduate-level education; international education experience preferred
  • A minimum of five years working in a professional environment supporting or leading alumni or participant outreach and engagement
  • Advanced skills using various computer and web applications (Word, Excel, Outlook, PowerPoint; knowledge of CRM database or Business Intelligence programs preferred)
  • Ability to develop materials and correspondence based upon broad guidance
  • Webinar coordination experience
  • Social media strategy and engagement experience
  • Design skills for simple newsletters and similar projects
  • Strong time management and organizational skills
  • International experience either through work, study, or volunteering strongly preferred
  • Excellent written and verbal communication skills to effectively interact with Rotary members and program alumni from different cultural backgrounds, as well as with internal staff contacts, including management
  • Professional communication skills in a second language preferred

You Will Be Responsible For

Alumni Relations and Engagement Strategy, Planning, and Implementation

  • In conjunction with the manager, collaborates with other areas to generate alumni engagement ideas. Synthesizes the ideas to develop specific alumni engagement strategies to support Rotary’s strategic plan; implements the strategies.
  • Develops and implements a communications and engagement strategy to ensure that Rotary program alumni are aware of and engaging with the Rotary volunteer network and secretariat on an ongoing basis post-program participation.
  • With support from the communications team at Rotary, develops and designs compelling and brand compliant materials for Rotary program alumni and Rotary members.
  • Maintain active relationships with individual alumni to understand their current professional and volunteer positions and their interest in working with Rotary and Rotary’s partners. Identify and share compelling alumni profiles and stories with Rotary business units (i.e., Rotary Peace Centers) and Rotary event and training conveners, as requested.
  • Develops resources and a communications plan to support club and district-level Rotary volunteers and global networking leaders to engage alumni during and after their program experience, especially the district Alumni chair.
  • Develops, implements, and promotes annual alumni recognition activities, such as the annual Alumni Association of the Year Award and Rotary Reconnect Week.

Fielding Inquires and Maintaining Database

  • Supports day-to-day engagement with Rotary alumni associations and networks.
  • Fields requests from Rotary members about connecting with alumni and other related information.
  • Manages the alumni registration process and resulting data on My Rotary and develops the accompanying business processes.
  • Communicates with Rotary members to re-establish ties with alumni who are not currently registered in MyRotary.

Elevating the Results of Rotary Programs through Alumni

  • With support from the research & evaluation team at Rotary, designs and implements Rotary program alumni research tools, including surveys, focus groups, and other methods to understand and share out trends and reports on Rotary program alumni.
  • Assists with the planning of meetings and events that engage Rotary program alumni, both regional and international.
  • Develop and implement strategy and tactics to link expertise held by alumni to support work on service projects and other mutually beneficial activities.

Budget Responsibility

  • Develops and monitors administrative budgets for alumni relations activities and committee meeting expenses.
  • Prepares calendarization of expenses and explanation of variances for those accounts.

  • Maintains outside working contact with Rotary members, including Rotary Action Groups, Rotary Fellowships, Senior Rotary Leaders, District International Service Chairs, Cadre of Technical Advisors, District Grants Chairs, Alumni Chairs, regional coordinators, district leadership, Rotary alumni, and alumni association leaders
